Legal Personal Assistant - Riyadh - International Law FirmWe are seeking, for a leading intentional law firm, an ambitious, motivated and experienced individual to ensure high quality PA support is provided to the Partners and Associates across the Riyadh office (including secondees or visitors from other AG offices), enabling the smooth running of the operations. WHAT TO EXPECT IN THIS ROLE• Initiates and ensures all month-end bills are processed on time • Contributes to fee earners' financial performance by proactively working with fee earners to manage their matter balances, including generating financial reports, management of matter balances and working capital, driving WIP process• Supports fee earners' business development activity, including recording CRM activity• Assists with bid / tender submissions - including liaising with various stakeholders (internal and external) • Ensures all file management processes are undertaken in a timely manner • Undertakes all matter management processesConflict check and Client Due Diligence processesAccurately completing the end to end Client Matter Inception (CMI) processDrafting of engagement letters and matter specification Identifying matters for closure, clearing client balances / WIP and archiving completed files• Comprehensive inbox and diary managementForward planningIdentifying and recommending cost efficient travel options Ensuring wider meeting requirements are identified and actioned • Delegate appropriate tasks to Document Production including pitch and tender documents, conversion and amendment of legal documents and transcripts• General office admin duties including; reprographics, mail co-ordination, meeting and greeting visitors, IT support, organising office internal/external events other running expenses• Successfully completes, on time, all compulsory firm training and returns all complaints and claims questionnaires• Adheres to the firm's risk and compliance policies and procedures and raises any issues or queries promptly with the relevant Partner and / or Risk and Compliance• Adheres to firmwide and Group Best Practice protocols • Ensures all statutory compliances are met in relation to employee visas and firm licenses• Provides cover for the other office PA as and when required
YOUR AREAS OF KNOWLEDGE AND EXPERTISE• Experience gained in a comparable environment at a senior PA level.• Highly organised and motivated with a 'can do' attitude and a willingness and enthusiasm to take on new challenges and develop own role.• Able to prioritise and thrive in a busy, fast-paced professional services environment meet the demands of the team.• Excellent verbal and written communication skills and able to quickly build strong working relationships.• Strong influencing and negotiating skills.• Proactive, flexible and driven attitude.• Strong organisational and PA experience.• Commitment to exceeding expectations and goals• Strong technical skills across all Microsoft packages including Windows, Outlook, PowerPoint and Excel.• Arabic speaker an advantage, but not essential.Salary is variable depending on, experience, location, background, knowledge of the region and language abilities.
