DescriptionAlternative Heat specialises in the design, supply, and installation of a wide range of Off-site Prefabricated solutions for the commercial M&E sectors throughout Ireland and UK. Through continuous investment within our teams, and our facilities, we have grown strongly over the years and established ourselves as a leader within the offsite pre-fabrication industry throughout Ireland and the UK.
Due to continued growth, we are looking to integrate a Office Administrator to manage the day to day administration activities of an engineering office for a manufacturing company, to include tendering administration, reception, document control, meeting minutes and booking travel. This post is a permanent contract and offers an amazing opportunity for a candidate who wants to gain experience within a progressive and dynamic company.
Key Responsibilities
- Manage general office day to day activities such as reception, deliveries and welcoming of clients.
- Assist in the preparation of reports, presentations and other formal documents.
- Liaise with Document Control and wider teams to assist in the set-up of incoming enquiries.
- Process operational documentation daily from various departments, including uploading & downloading drawings / documents and printing distribution.
- Maintain accurate document record logs of drawings and documents issued by all parties at each stage of a project.
- Carry out detailed drawing markups identifying project scope to be included/excluded in AH tenders (Please note training will be provided for this task and previous experience is not necessary).
- Ensuring office stationary, kitchen and consumables are maintained in supply at all times.
- Assist in maintaining company Client Relationship Management system (CRM).
- Support marketing team with website updates, LinkedIn announcements and other marketing material.
- Help coordinate sales & marketing events and client appointments.
- Attend meetings, noting and recording minutes of key discussions and decisions made.
- Produce, co-ordinate and circulate agendas, minutes and other documentation from meetings and circulate to relevant team members.
- Any other tasks that from time to time management may deem necessary to carry out the office administrator role.
Skills, Knowledge and Expertise
- Proven experience in office management or administrative role, preferably in the engineering or construction industry.
- Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
- Strong attention to detail and accuracy in work.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Excellent communication and interpersonal skills, with the ability to interact professionally with a diverse range of stakeholders.
- Ability to work independently with minimal supervision, as well as collaboratively within a team environment.
- Flexibility to adapt to changing priorities and deadlines.
- Eligibility to work in Ireland.
