Functional Responsibilities:
The incumbent will perform the following duties in support of Political Affairs Section (PAS) and the Economic Unit:
Administrative Assistance
- Drafts and prepares responses to routine correspondence and administrative communications using standard document processing software, ensuring accuracy and professionalism.
- Provides comprehensive secretarial, administrative and logistical support for meetings, committees, and conferences, coordinating with internal offices, Jordanian authorities and Yemeni interlocutors as required.
- Processes administrative documents and service requests, including requisitions, purchase orders, travel requests and arrangements expenditure authorizations, visa applications, and contract support for PAS and ECON staff.
- Supports HR and administrative functions such as, leave and attendance recording, UMOJA support, budget monitoring and scheduling meetings and official engagements.
- Ensures compliance with UN administrative procedures and policies while maintaining accurate documentation and records. Performs additional administrative, coordination and office management duties as assigned.
Information Management and Analysis
- Assists in translating official documents, reports and correspondence ensuring accuracy and contextual appropriateness.
- Manages and updates the Office’s databases, ensuring the systematic archiving, data entry and maintenance of records (both paper and electronic) for key substantive activities, including, but not limited to, political consultations and detainee files (highly confidential).
- Performs database analysis for a variety of analytical products and assessments for different substantive files, as instructed.
- Supports the integration of data analytics and artificial intelligence tools to enhance analytical outputs..
- Regularly updates the database system to maximize benefits for substantive activities.
- Assists in the preparation of presentations, briefing materials and reports using appropriate software and visualization tools to support senior leadership and external engagements.
Education/Experience/Language requirements:
Education:
- A Master’s degree in Business Administration, Public Administration, Management, Finance, or a related area is required.
- A first-level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree.
Work Experience:
- A minimum of two (2) years of experience in administration and general office support or related area is required
- at least two (2) years providing professional translation/interpreting support is required.
Languages -
English and French are the working languages of the United Nations Secretariat.
For the position advertised, fluency in English and Arabic (both oral and written) is required.
