Position: Administrator Contract: Temporary, 8-10 weeksLocation: IICP Dublin Office (Tallaght)Key Responsibilities:
- Provide administrative support to the Admissions and Student Support teams, including data entry, filing, and document preparation.
- Assist with the processing of student applications, including verifying documents, updating records, and tracking application status.
- Respond to inquiries from prospective and current students via email, phone, and in person, providing accurate information or directing them to the appropriate team member.
- Schedule appointments and support the coordination of admissions interviews, student orientations, and other events.
- Maintain accurate and up-to-date student records in college databases and systems.
- Support the communication of key information to students regarding admissions decisions, enrollment steps, support services, and deadlines.
- Help monitor shared inboxes and manage routine correspondence.
- Provide general office support, including scanning, printing, mailing, and organizing materials for events or outreach efforts.
- Support student engagement activities by preparing materials and assisting during events.
- Uphold confidentiality and data protection standards in all tasks involving student information.
Requirements:
- Excellent attention to detail, strong numeracy and analytical skills a must.
- Excellent administrative and organisational skills with the ability to prioritise their work and to meet strict deadlines.
- Excellent communication skills both verbal and written.
- Proven track record of working effectively within a regulatory framework and in line with processes and procedures Ability to work on their own and within a team.
- Clear evidence of self-motivation, with an ability to work under pressure as part of a constantly changing working environment.
- Pro-active, enthusiastic and student-oriented approach to work.
- Excellent knowledge of Microsoft office, in particular, Excel (formulas, VLOOKUP, pivot tables).
- Familiarity with basic programme requirements in accordance with validation.
